Who we are

Ashley Verdant Limited is a New Zealand fulfilment and analytics company based at 6 Silverfield, Wairau Valley, Auckland. This policy covers ashleyverdant.co.nz, our client portal and warehouse systems, and the personal information we handle to run the business.

What we collect

When you contact us through our enquiry or quote forms we collect the details you provide: your name, email address, phone number if you share it, your brand, and whatever you tell us about your business.

If you hold an account with us (as a client, retailer or team member) we hold your name, email address and sign-in records so the account works. For the businesses we work with or talk to, we keep normal working records: contact names, email addresses and notes about our conversations.

We also use basic site analytics (Vercel Analytics) to understand which pages are visited and how the site performs. It does not use advertising cookies or track you across other sites.

Information we handle for our clients

As a fulfilment provider we process order information on behalf of the brands we work for, and that includes their customers' names, addresses and order details. We hold that information as our clients' agent, use it only to store, pick, pack and ship their orders, and never for our own purposes. If you are a customer of one of our client brands, the brand you bought from is the right first contact for privacy questions about your order, and we will help them answer.

How we use it

We use your details to respond to your enquiry, to talk with you about our services, and to run the services our clients have engaged us for. That is it. We do not sell, rent or trade personal information, and we do not add you to marketing lists you did not ask to join.

Where it lives and who processes it

Your information is stored and processed by a small set of providers who act only on our instructions: our database and application run on Supabase and Vercel in Singapore, transactional email is sent through Resend (United States), business email runs on Google, and invoicing runs through Xero. Some order emails are read by an AI service (Anthropic, United States) purely to extract the order lines so the order can be packed; Anthropic does not use this data to train its models. We use reputable providers, keep access limited to our team, and remain responsible for your information wherever it is processed.

How long we keep it

Raw system and error logs are deleted after roughly 90 days. Enquiry and business records are kept while we are talking or working together and for as long as the law requires afterwards (for example, tax records for seven years). Order data we hold for a client is kept for the term of our agreement with them and deleted or returned when they leave us and ask for it.

If something goes wrong

If we have a privacy breach that is likely to cause serious harm, we will notify the Office of the Privacy Commissioner and the people affected as soon as practicable, and tell you what happened and what we are doing about it.

Your rights

Under the New Zealand Privacy Act 2020 you can ask us what personal information we hold about you, ask us to correct it, or ask us to delete it. Email hello@ashleyverdant.co.nz and we will sort it out.
